Privacy Policy
Last updated: 10/01/2026
This privacy policy explains how OddArticulations, LLC, of Dothan, Alabama, collects, uses, and protects your personal information when you use our website, online store, client portal, and services.
Information We Collect
Information you provide:
- Your name, email address, phone number, and mailing and shipping addresses.
- Any secondary email addresses you add to receive updates.
- Details about your pet or commission, including name, species, sex, weight, requested services, notes, and photos you upload.
- Messages you send us by email, text, or through our website.
- Tracking numbers for shipments.
Deposits for someone else: If you pay a deposit for another person's pet, we collect that person's name and email address so we can set up their portal account.
Information created while we work: photos of your pet taken during processing, tanning, and finishing, along with notes and progress records. We also record which version of our Terms and Conditions you accepted and when.
Payment information: Card payments are processed by third-party payment processors (Stripe and PayPal). We never see or store your full card number. We keep a record of each payment, including the amount, date, payer's name, and payment method, including payments made through Zelle, Cash App, or Venmo.
Guest payers: If someone pays toward a pet's balance through a guest link, we collect their name and any message they choose to include.
Referrers: If you refer clients to us, we keep your name, contact information, preferred payout method and handle (such as a Venmo or Cash App username), and a record of your referrals and payouts. We never ask for or store bank account numbers.
Automatically collected information: cookies, browser and device information, IP address, and login activity. See Cookies and Analytics below.
How We Use Your Information
We use your information to:
- process and fulfill store orders and commissions
- operate your client portal, including progress updates, balances, invoices, and payment reminders
- process payments, including recurring payments you set up
- arrange shipping to and from us, including purchasing shipping labels
- respond to your questions
- track and pay referral rewards
- improve our website and services
- send marketing communications (only with your consent)
- feature your pet on our memorial page (only with your permission)
- comply with legal obligations and enforce our Terms and Conditions
Guest Links
Owners may share a guest link with friends and family. Guests can see your pet's name, photos, services, and progress, and, if you allow it, the remaining balance. Guests never see your contact information, payment history, or individual prices. Anyone with the link can view the page until it expires when your pet's remains arrive home or are picked up, and you can reset the link at any time.
Information Sharing
We do not sell, trade, or rent your personal information. We share only what is needed with:
- payment processors (Stripe and PayPal)
- shipping carriers and label services (such as UPS, USPS, ShippingEasy, and EasyPost)
- providers that host our website, database, email, backups, and file storage
- the analytics providers listed under Cookies and Analytics
- our tanning partners, who receive your pet's name, species, sex, weight, ID number, and tanning services, and never your email, phone number, or payment information
One of our tanning partners ships finished pelts directly to owners. After you confirm your return address for a finished pelt, that partner sees your shipping name and address so they can ship the pelt to you.
We may also disclose information if required by law or to protect our legal rights.
Photos and Our Memorial Page
Photos of your pet are used for our records and shared with you through your portal. We may share photos of your pet's finished piece publicly, including on our website and social media. We never post graphic photos of your pet publicly. Your pet is featured on our memorial page only with your permission. Photos of other commissions are covered by our Terms and Conditions.
How Long We Keep Information
We keep commission records, including pet information, services, payments, and notes, permanently as business records. This also helps us assist you if you contact us about your pet years later. Photos you upload of your pet in life are kept permanently. Other photos shared with you in the portal are moved to our private archive about 90 days after the item they show arrives home. We will email you two weeks beforehand so you can download them.
Data Security
We protect your information with encrypted connections, password or one-time email code login for clients, two-factor authentication for staff, and access limited by role. Passwords are stored only in encrypted (hashed) form that no one at OddArticulations can read. No method of transmission or storage is 100% secure, but we work to protect your information.
Your Choices and Rights
You can view and update your contact information in your portal or by contacting us. You may request deletion of your personal information. We will delete what we can, but may keep records needed for legal, tax, accounting, or dispute purposes, and for commissions still in progress. You can opt out of progress update emails and marketing at any time. Emails about balances, invoices, and shipping continue while you have an active commission.
Text Messages
We may text you about your commission from our business phone. We do not send marketing texts. Let us know if you prefer not to receive texts.
Cookies and analytics
Our website and client portal use cookies that are needed to work, such as keeping you logged in. Our website (not the client portal) also uses these tools:
- Google Analytics and Google Tag Manager, to understand how visitors use our site. You can opt out with Google's opt-out browser add-on.
- Jetpack Stats (Automattic), to count visits and popular pages.
- WooCommerce order attribution cookies, which record how you arrived at our store (for example, from a search engine or social media) when you place an order.
Our checkout uses Stripe, which collects device and browser information to prevent fraud. Our forms may use Google reCAPTCHA to block spam.
You can disable or delete cookies in your browser settings, but the client portal requires cookies to log in.
Children's Privacy
Our website and services are not directed to children under 13, and we do not knowingly collect personal information from them.
Changes to This Policy
We may update this policy from time to time and will post the new version here with an updated date. If a change significantly affects portal users, we will also notify them by email.
